Privacy policy

This policy explains what information nicebunch collects, why, who can see it, and the choices you have. We've tried to keep it plain and short. If anything is unclear, get in touch.

Who we are

nicebunch is run by nicebunch ("we", "us"). We are the data controller for the information described here. You can reach us through our contact form.

nicebunch is for people aged 18 and over. We don't knowingly collect information about anyone younger.

The short version

  • We collect what we need to run your community, and nothing more.
  • We never sell your information, show you adverts, or use tracking or analytics cookies.
  • What you post in a community is seen by the people in that community.
  • Some safety checks run automatically, to protect the people using nicebunch. These are explained below.
  • You can delete your account at any time.

What we collect

Your account. Your name, username, email address and password (stored securely, never in plain text). If you turn on two-factor authentication or passkeys, we store what's needed for those too.

Your profile. Anything you choose to add: a profile photo, a short headline, a bio, links, the skills you're happy to help with, and your timezone.

What you do in a community. The posts, comments and messages you write, the photos and files you upload, your reactions and +1s, your answers to events, your poll votes, your weekly goals and wrap-ups, and anything you add to the knowledge base or directory.

  • If you vote in an anonymous poll, we store your vote so it can only be counted once and so you can change it. It is never shown to anyone, including your community's admins.
  • Bookmarks are private to you.

Sparks and your journal. Sparks are your private notebook. If you use the journal, you can also record how you're feeling. Sparks and journal entries are only ever shown to you. They are not visible to other members or to your community's admins.

Technical information. To keep you signed in and keep the service secure, we use a session cookie and record basic technical details such as your IP address. If you turn on push notifications, we store the details your browser gives us to deliver them to that device.

If you contact us. When you use our contact form, we receive your name, email address and message by email so we can reply. It isn't stored anywhere else.

How we use it

We use your information to:

  • run nicebunch and your community, and show your content to the people in it
  • send the emails you'd expect, such as invitations, password resets and notifications you've chosen
  • keep communities safe, including the automatic checks described below
  • keep the service secure and prevent misuse, such as spam
  • reply when you contact us

We do not use your information for advertising, and we do not sell it to anyone.

Automatic safety checks

To help keep communities friendly and safe, some checks run automatically on what's posted. They are explained in plain terms on our safety page.

  • Wellbeing. If a post or message suggests someone might be struggling, we offer that person support options straight away, and the community's admins are told so they can check in. If this happens in a private journal entry, the support options are shown to you alone, and nobody else is told.
  • Inappropriate requests. Messages asking for explicit images or paid sexual services are flagged to the community's admins.
  • Contact details. Before you share a phone number, email address or social media link, you're asked to confirm you meant to.
  • Swear filter. If a community has switched it on, bad language is masked when it's posted. We keep the original wording so admins can judge a report fairly.

Because wellbeing checks can involve information about someone's health, we only use them to protect people's safety, and only the people who need to know are told.

Who can see what

  • Members of your community see what you share in that community: your profile, posts, comments, messages in conversations you're part of, and so on. Each community is separate. Members of one community can't see another's content.
  • Community admins can see reports made in their community, including the content that was reported, and can manage members.
  • Our team can see reports from every community, so there's always someone who can step in. To help with support and safety problems, our team can also view nicebunch as a particular person would see it. Every time this happens, it's logged.

Who we share it with

We only share information with services that help us run nicebunch, and only what they need:

  • Hosting. Our servers and your data are in the UK.
  • Email delivery. We use Postmark to send emails. Some of their processing may happen outside the UK, under appropriate legal safeguards.
  • Push notifications. If you turn these on, notifications are delivered through your browser's own push service (for example Apple, Google or Mozilla).
  • Fonts. Our fonts are served by Bunny Fonts, which doesn't use cookies or track visitors.

We may also share information if the law requires it, for example with the police, or to protect someone from serious harm.

Under UK data protection law, we rely on:

  • Providing the service you've signed up for for your account and community content
  • Our legitimate interests in keeping nicebunch safe, secure and free of misuse
  • Protecting people's vital interests when a wellbeing check suggests someone may be at risk
  • Legal obligations where the law requires us to keep or share information

How long we keep it

We keep your information for as long as you have an account.

When you delete your account, your profile, posts, comments, messages, Sparks and other content are deleted with it. Some safety records, such as reports and the original wording of filtered messages, may be kept for longer, because they can be needed to deal with serious problems or to comply with the law.

Cookies

We only use cookies that are needed for nicebunch to work: to keep you signed in and to protect forms from misuse. We don't use analytics, advertising or tracking cookies, so there's nothing to opt out of.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that's wrong
  • ask us to delete your information (you can also delete your account yourself in your account settings)
  • object to, or ask us to limit, how we use your information
  • ask for your information in a portable format

To use any of these rights, contact us. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this policy

If we make significant changes, we'll let you know before they take effect. The date at the top shows when this policy was last updated.
